Introducing a Clinical Brief: A Working Note for Household Staffing Agencies, Family Offices and Chiefs of Staff

A nurse, a physiotherapist or a physician is the one household appointment that cannot be run like a house manager's. What an introduction to Medical Staff Talent involves, what the introducing party is protected by, what to send, and what to settle before anyone sees a name.

Sooner or later a household staffing agency, a family office or a chief of staff is asked for a nurse. Sometimes it is a physician who will travel with the principal, or a physiotherapist for a private treatment room; most often it is a nurse — for a newborn, a parent, a recovery. The request arrives in the same breath as the request for a house manager, and the instinct is to run it the same way: register, shortlist, interview, place. It is the one household appointment that should not be run that way, and this note sets out why, what an introduction actually involves, and what the introducing party is protected by.

Why a clinical brief is different from every other household brief

A house manager, a governess or a chef is engaged by the household and starts. A nurse, a physiotherapist or a physician carries a professional registration, a clinical scope and a duty of care that follow them into the residence. Four consequences follow, and each of them lands on the intermediary’s relationship with the client rather than on the clinician:

  • Local arrangements belong with the family’s own office. Medical Staff Talent introduces and verifies clinicians. The engagement is contracted directly between the family and the clinician, and all local arrangements (visa, licensed entity, coordination with local clinics) remain with the family’s own office and advisers. Raising that at the outset, rather than after an offer, is what keeps the start date honest.
  • The task list matters more than the title. Households routinely ask for a “maternity nurse” and describe a newborn care specialist, or the reverse. Writing the actual tasks down before the search opens is what lets us introduce the right clinician.
  • Residential cover is a pair, not a person. Continuous nursing cover is delivered by two nurses alternating shifts; there is no arrangement of hours in which a single nurse is genuinely off duty and the principal genuinely covered. A one-nurse brief for continuous cover is a resignation in waiting, and the household will remember who placed her.
  • Governance and scope have to be written down. A named reporting line, a supervising physician where relevant, and a settled answer to who decides when the principal disagrees with the clinician.

None of this is difficult once it is known. All of it is expensive when it is discovered after an offer has been accepted and a clinician has resigned a post in Europe — and the party who made the introduction carries the disappointment.

What “introducing” means — and what it protects

An introduction is a message. It is not a transfer of the client, a joint pitch or a sub-contract. The way we work with introducing partners is set out on our Referral & Introduction Partners page; the points that matter most to an agency or a private office are these.

  • Your client remains yours. You decide how close you stay: fully informed, informed at milestones, or stepped back once the introduction is made. We report only to whom you specify.
  • We place clinicians only. Nurses, physiotherapists and osteopaths, physicians. We hold no register of house managers, butlers, chefs, governesses or estate staff, and we will not approach a household you introduce for any non-clinical appointment. Where a household of ours raises a non-clinical requirement, we refer it out — to you, where you are the introducing party.
  • The referring party is never disclosed to a candidate or to any third party without written consent. The principal is not named to any candidate before a non-disclosure agreement is executed. Nothing is advertised; no household is described publicly.
  • No cost and no obligation. An introduction carries no cost and no obligation for the introducing party or the principal. Our fees are agreed directly with the household or its office, in writing, before any search begins, and are set out on our fees page.
  • The introduction is recognised. Where an introduction leads to a completed placement, the introducing party is recognised under written introduction terms — on completed placements only, and never at the household’s expense. We issue those terms by name to any partner who asks.

What to send — three lines, no names

An email or a WhatsApp message is enough to open a conversation, and it should contain no name and no medical detail:

  1. The discipline and the setting. “A registered nurse for a newborn in a private residence in Riyadh”; “a physician to travel with a principal based in Dubai”; “a physiotherapist for a private treatment room in Doha”.
  2. The deployment model, if the household has said: Live-In, Rotational, Fixed-Term, Travelling or Locum. If it has not, that is the first thing we will help the private office decide — the five deployment models are described separately. Every appointment is live-in and single-status.
  3. How you wish us to reply, and to whom.

We then agree a secure channel with the principal’s office and take the brief under non-disclosure. Where the office wants a structure for the conversation, the Household Medical Commissioning Brief is the document we use: requirement, deployment model, governance and band, with no name, no diagnosis, no residence and no travel pattern. A brief that names nothing cannot leak anything. The wider question of commissioning a private medical team without exposing the principal has its own note.

Where Medical Staff Talent sits

We identify, verify and introduce UK & European-trained clinicians — private and maternity nurses, physiotherapists and osteopaths, private and concierge physicians — to private families across Saudi Arabia, the UAE and Qatar, and on Mediterranean yachts when travelling with the family. We are not the employer or the sponsor of any clinician we introduce, and we do not advise on visas, sponsorship or local regulation.

That matters to an introducing partner because of what it rules out. We will not offer a single nurse for continuous cover — nurses are always introduced in pairs, alternating shifts — and we will not describe a maternity nurse as something she is not, or the reverse. What we will do is make sure the task list and the specification are written down before a search opens, so that no party — least of all the one who made the introduction — is surprised after an offer has been accepted.

Three things an introducing partner should not accept from anyone

  • A single clinician for continuous residential cover. The two-nurse pairing, the shift pattern and leave have to be in the specification, not discovered in month two.
  • A shortlist before verification. Standing on the home register, qualifications and references belong before the offer.
  • A public advertisement of the household’s requirement. A clinical brief for a private family is confidential information in itself.

Frequently asked questions

We are a household staffing agency. Will you approach our client for other roles?

No. We place clinicians only and hold no register of household or estate staff. A household you introduce is never approached by us for a non-clinical appointment, and where one of our households raises such a requirement we refer it out.

Does the principal have to be named to make an introduction?

No. The first message contains the discipline, the setting and how you wish us to reply. The principal’s office is identified to us only when a secure channel has been agreed, and the principal is not named to any candidate before a non-disclosure agreement is executed.

Who handles the visa and local arrangements?

Medical Staff Talent introduces and verifies clinicians. The engagement is contracted directly between the family and the clinician, and all local arrangements (visa, licensed entity, coordination with local clinics) remain with the family’s own office and advisers.

What does the introducing party receive?

Written introduction terms, issued by name on request, that recognise the introduction on completed placements only and never at the household’s expense; confidentiality of the referring party; and the assurance that the client relationship stays where it was.

Introductions and questions reach David Vilchez, Founder & CEO, at info@medicalstafftalent.com or on WhatsApp +34 692 100 254.

This note reflects Medical Staff Talent’s operating position as at October 2026 and is not legal advice. Families should confirm local arrangements with their own office and advisers. We publish no client names, no residences and no identifying detail.
