The Confidential Hiring Process, Step by Step

What to expect when engaging Medical Staff Talent for a Royal Household or Family Office clinical mandate.

Many Chiefs of Staff and Private Office Managers hesitate to begin a clinical search simply because they are unsure how to do so without exposing the household. This page sets out exactly what to expect, at each stage, and how little exposure is required of you at any point.

Step 1 — Confidential Initial Brief

We begin with a private conversation to understand the role, the household’s requirements, and any specific constraints — without requiring names, addresses, or any detail that could expose the principal or family. This can take place by phone, video call, or in person, at your convenience.

Step 2 — Curated Shortlist, Off-Market

We draw on our existing, pre-vetted network of Western-trained clinicians to identify suitable candidates — never through a public listing. Each candidate is approached individually, briefed only after signing an NDA, and screened for fit before being presented to you. A shortlist is typically ready within days.

Step 3 — Discreet Interviews

Interviews are arranged at a time, format and location that suit your household’s preference for privacy — video call, a neutral venue, or in person at the residence once appropriate vetting has been completed. We coordinate logistics directly so your team is not managing scheduling with an unfamiliar party.

Step 4 — Verification, Contract & NDA

Once a candidate is selected, we complete final credential verification, finalise contract terms, and put a formal NDA in place covering the household and the engagement. See Confidentiality, NDAs & Vetting for the detail of this stage.

Step 5 — Deployment & Settling-In

Our concierge team manages any required licensing pathway and relocation logistics, and remains available during the settling-in period to resolve any early friction — so the transition is seamless for both the household and the new clinician.

Indicative Timeline & Involvement Required

Most mandates move from initial brief to placement within 8 to 14 weeks, depending on licensing complexity. Your direct involvement is typically limited to the initial brief and final interview stage — every administrative and logistical step in between is managed on your behalf.

Frequently Asked Questions

How much of my own time will this process require?

Typically just the initial brief and final interview stage. We manage sourcing, screening, licensing coordination and logistics on your behalf throughout.

Do I need to provide the household’s name or address to start?

No. The initial brief can proceed without identifying details — we only require the information necessary to scope the role and begin sourcing candidates.

What happens if the first candidate presented is not the right fit?

We continue sourcing until the right fit is found. Our focus is on long-term continuity for your household, not filling the role quickly with the wrong candidate.

Can the process start before we have finalised the exact role requirements?

Yes. Many households refine the exact scope during the initial brief conversation itself — this is a normal part of Step 1.
